Guide to creating a Wooclap team and inviting colleagues
When you subscribe to a PRO licence, you will automatically create a team and have the possibility to add more seats and invite colleagues to join your team!
Purchase your subscription
On our Pricing page, first choose whether you work in the Education or Business field (1). Then, choose the subscription you would like to purchase (2). You can find all the details about our subscriptions in the Pricing page.
You will be asked to create a Wooclap account or login to your Wooclap account. You will then see a summary of all the features you will get with the chosen subscription.
You can then add your name and VAT number. The VAT number is optional and you can proceed to checkout without VAT if you wish.
You can then adapt the number of users you wish to add to your team. A user is someone who will create and present content in Wooclap. Participants are not considered as users.
Once you proceed to checkout, you will see a summary of your purchase. You will see the total price you will pay per year. You can cancel the renewal of your subscription at any moment up to 48h before the renewal.
You can choose to pay with a credit card (Visa, Mastercard, American Express) or a SEPA direct debit (only for payments in euro).
Subscriptions are billed annually from the date you start your subscription.
Create your team
Once the payment is validated, you will be asked to confirm your subscription and renewal date. This will create your team.
You can then access your team under the My Team tab on the left of your screen.
When you access this tab for the first time, you will be able to rename your team.
Congratulations, your team is now created!
Invite colleagues to the team
Now that your team is created, you can invite your colleagues so they have access to all PRO features of Wooclap, and share resources with you.
Click on Add users to invite your colleagues and fill in their email addresses. If your colleague doesn't have a Wooclap account, they will receive an email inviting them to create one and they will then be able to join your team.
Please note that participants must have verified their email address.
You can invite as many people as you want to your team. If you don’t have enough available seats, you will be asked to update your subscription and add the missing seats.
You can now see in your team page who you have invited to your team and the status of the invitation.
The invitee will receive an email notifying them they are invited to the team. They must click on the link in this email and confirm that they want to join your team. Invitations are automatically cancelled if they have not been accepted or declined after seven days.
Remove users from your team
You can remove a user from your team at any moment. In the list of users in your team, select Delete, and then Yes. The user will no longer be part of your team and will be back on the free plan. This means they still have access to their account, with all their content, but only have access to the free features of Wooclap.
Manage seats
You can add seats to your subscription or remove seats at any time, using the Manage seats button.
To add or remove seats, first click on Manage seats from your My Team tab.
You can then update the number of seats linked to your PRO subscription.
If you add seats, you will pay the difference in price immediately. The price to pay is a pro-rata of the seats added and the time left until the renewal of your subscription. You will see the new total annual price, the price to pay now as well as the default card on your account.
When removing a seat, the removal will be effective immediately. You will pay the new price with the seat removed on the next renewal of your subscription.
Note that you cannot remove a seat that is currently occupied. If you wish to remove an occupied seat, first remove the person as described previously.
