How to use the Statistics tab in your admin dashboard

Get a clear, organization-wide view of how your team uses Wooclap. The Statistics tab in your admin dashboard turns your organization's activity into clear, exportable data, so you can track adoption, spot trends, and know where to focus your support

How to use the Statistics tab in your admin dashboard

As an administrator, you can access your organization's usage data straight from your Wooclap account. The Statistics tab groups this data into several views: a 12-month overview, general usage, content creation, and presenter activity, plus a Resources tab to help you get the most out of it.

🔒 All plan administrators have access to this tab. If you don't see the Organisation tab in your account, contact your dedicated CSM to request access.

Access the Statistics tab

  1. First, log in to your Wooclap account.

  2. Then, click on the Organisation tab in the top left of your screen, and select Statistics.

Filter your data by date range

You can select a custom date range using the calendar at the top of the Statistics tab.

  • The date range cannot be shorter than 4 weeks (28 days).

  • By default, the range is set to 1 year. The filters you select are saved and kept for your next visit to the dashboard.

Note: The Last 12 months tab always shows activity from the last 12 months, even if you select a different period. The other tabs will show analytics for your selected period.

Export your results

If you want to analyze the results further in a spreadsheet or share them with colleagues, you can export:

  • Each tab as a PDF. Click the export icon at the top of the tab.

  • Each metric as a CSV, PNG, XLSX, or JSON file. Click the three dots next to the metric you want to download.

The "Last 12 months" tab

This tab always shows your organization's activity over the last 12 months, no matter which date range you've selected.

  • Active Presenters: the number of presenters who used Wooclap in the last 12 months.

  • Answers Submitted: the number of answers submitted by participants, either in live or self-paced events, in the last 12 months.

  • Participants: if the same participant takes part in several live events, they're counted once for each live event they answer.

The "General" tab

This tab shows the same core metrics as Last 12 months, but for the period you've selected in the filters.

  • Active presenters: the number of users who used Wooclap during the selected period.

  • Answers Submitted: answers submitted by participants during the selected period, either in live or self-paced events.

  • Participants: participants who answered a live event during the selected period. If the same participant takes part in several events, they're counted once for each event they answer.

The "Content" tab

This tab focuses on the content your organization creates in Wooclap during the selected period.

  • Questions created: questions created or duplicated during the selected period.

  • Events created: events created via any method (from scratch, duplication, comparison, etc.) during the selected period.

  • Questionnaires created: the number of questionnaires created, including duplications.

  • Questions Created Per Pedagogical Goal: among all created questions, this shows the distribution of question types by pedagogical goal: Assess Understanding, Gather Feedback, and Showcase Information.

  • Top 5 Question Types: the 5 most-created question types during the period, with their corresponding volumes.

Note: In some cases, mostly for past periods, an Unknown category may appear. This happens when a question's type is lost, for example, after the question was deleted.

The "Presenter Detailed Activity" tab

This tab breaks down the same usage metrics at the individual level, so you can see how each presenter in your organization uses Wooclap.

💡 Click on any metric to sort the list and quickly identify your top users for that metric.

This tab shows all the metrics from the other tabs, but aggregated at the user level, using the email address associated with their account.

Note: The number of active presenters shown for the period may differ from the number of rows in this table, since only users with at least one of the 5 metrics greater than 0 are displayed. You may also see Unknown or blank entries if a user has deleted their account and personal data.

The "Resources" tab

This tab centralizes everything you need to make the most of your Statistics tab:

  • A link to this Help Center article, so you always have the full breakdown of what each metric means close at hand.

  • The email address of your dedicated Wooclap referent (CSM), in case you have questions or feedback.

  • A glossary of the terms used throughout the Statistics tab, so you can quickly get familiar with Wooclap's specific wording.
