How to use the Users tab in the admin dashboard
As an administrator, you can access your organization's user data straight from your Wooclap account. The Users tab shows you who's using your license, how they log in, whether they've verified their email, their role, and how they use Wooclap, plus tools to add, remove, and export data for your users.
🔒 All plan administrators have access to this tab. If you don't see the Organization tab in your account, contact your dedicated CSM to request access.
Access the Users tab
First, log in to your Wooclap account.
Then, click on the Organization tab in the top left of your screen and select Users.
Add a user
All users who create a Wooclap account with an email address whose domain is linked to your unlimited license are automatically added to it. Sometimes, though, you may want to give license access to someone using a different email domain, like an external guest speaker.
From the Users tab, you can manually add a user to your license in two ways:
If the person already has a Wooclap account, enter their email address in the User to add field and click Add.
If the person doesn't have a Wooclap account yet, click Copy invitation link and share this link directly with them.
💡 You can paste several email addresses at once, separated by a space, a comma, or a semicolon. Each address is processed individually, so you may need to take an action for each one, like choosing between several accounts or sending an invitation if the user doesn't exist yet.
You can also share your organization code directly with the person you want to add. You'll find it in brackets in the top left of the admin menu. Once they're logged in, they need to click their name or the Profile icon, then select Redeem company code from the left-side menu to activate it.
Users and login methods
This column of the table shows the names of the users who have created a Wooclap account, along with some information about them. These users can be teachers, students, or anyone else at your institution with access to your Wooclap license.
In this column, you'll find each user's first and last name, their email address, and the method they used to log in. Wooclap can detect several login methods:
[local]: logged in with an email address and password.
[google]: logged in with a Google account.
[linkedin]: logged in with a LinkedIn account.
[facebook]: logged in with a Facebook account.
[azure-ad]: logged in with a Microsoft account.
Note: Other login methods can appear when Wooclap is used through an integration or a single sign-on (SSO) connection, such as [moodle] for the Wooclap integration in Moodle, [azure-ad] for the integration in Microsoft Teams, or [your-institution.edu] for your institution's SSO.
Check email address verification
This column of the table shows whether users have verified their email address. If a red cross appears, the user hasn't finished verifying their email address yet.
For accounts using a local connection, email verification is a security requirement, and it also matters for technical reasons. It can help resolve situations like:
A user doesn't seem to have access to the unlimited version of Wooclap.
A user can't find all the events they created in their Wooclap account.
Note: You can find more details about email verification in this article.
Check a user's role
This column of your dashboard shows each user's role. This information comes from your institution's SSO system and gives you a clearer picture of how varied your license's user base is.
Note: Don't see the role column in your dashboard? Contact your dedicated CSM to find out if it can be enabled for you. This column depends on your institution's SSO setup.
Remove a user
From your dashboard, click the red icon in the Remove? column next to the user you want to remove from your license.
Removing a user doesn't delete any data, events, or the user's account. Their account simply switches to a free, limited plan, since they're no longer part of the organization that funds the full license.
Note: Don't see the Remove? column? Contact your dedicated CSM to have this feature enabled for you.
Export usage data to Excel
You can also export this usage data straight from your Wooclap dashboard. At the top of the usage summary table, click Export to Excel to download the data and review it offline whenever you need to.
